How We Are Using AI In Our Business
Hosted by Mike DeHaan, Dan Austin, Dylan Koch
In this episode
Mike DeHaan walks through three specific ways he and Dan Austin started using AI tools like ChatGPT in their real estate business: writing job listings, producing marketing copy for online ads, social posts and direct mail, and drafting standard operating procedures. He explains what the output gets right, where it still needs human editing, and even admits he had AI outline this episode.
Key takeaways
- AI-written job listings can be tailored to a specific role and industry (e.g., a sales manager for a real estate company) rather than generic templates, which saved time on a tedious task.
- For direct mail, Mike prompted AI to write a 300-word letter to a motivated home seller and got multiple versions to split test — most direct mail copy is general anyway.
- Online marketing copy came back SEO-checked and correctly formatted with headers for their WordPress plugins, so it could be copied and pasted with little cleanup.
- AI got their SOPs roughly 85% of the way there; the remaining work was adding the internal details unique to their business that AI couldn't know.
- Mike and Dan's SOP problem came from bootstrapping — years of iterations left most processes undocumented and in their heads.
- AI output isn't perfect; the podcast script it generated used long-winded language Mike wouldn't actually say, but it provided the structure and key points.

Frequently asked questions
How can real estate investors use AI like ChatGPT in their business?
Mike DeHaan uses it for three things: writing job listings for new hires, generating marketing copy for online ads, social media and direct mail, and drafting standard operating procedures.
Can AI write direct mail copy for motivated sellers?
Yes. Mike asked it to write a 300-word letter to a motivated home seller and got several iterations to test. He notes it's fairly general, but so is most direct mail copy, and it removes the need to write something original each time.
Is AI good enough to write SOPs for a real estate business?
It produces a basic outline that Mike estimates eliminates about 85% of the work. You still have to fill in the internal details specific to your company that aren't publicly available.

Speaker 1: [0:01] Welcome to the collecting keys Friday focus.
Mike DeHaan: [0:05] What's going on, guys? On this episode of the collecting keys Friday focus, I am Mike DeHaan here, and I am going to talk about how we have been using AI in our business for a wide range of processes. So if you listen to any of our Wednesday episodes of the last couple of weeks, you've heard Dan and I kind of joke about AI. And, you know, honestly, we're just kind of haters. Everything that comes out that's trendy, we always hate on it a little bit. But, you know, there was enough hype about it that we started to really play around with AI and the different capabilities, you know, chat GPT and some of these elements that are out there. And I gotta say, like, it is next level stuff, and it has done a tremendous amount for our business in sort of a very short period of time. So today, I'm gonna discuss how exactly using artificial intelligence to help do three things specifically, which are create job listings, marketing copy, and also write some of our standard operating procedures. And, you know, these tasks seem just to be perfect for what AI is actually capable of. So super copy heavy, They take a lot of time, but ultimately, they are something that you can easily copy from other people.
Mike DeHaan: [1:19] Right? And you can like get the basic process of them. It's very repeatable. It's like you have to reinvent the the wheel with every single one. So first thing that we started using it for was creating some job listings. So with the job listings, we are recently started looking to hire people for several different roles. And coming up with job listings is always a bit of a tedious task. Right? So, you know, as we were having trouble determining exactly how we wanted to write the copy for it, we decided we would give AI a try. And we found that not only did it come up with stuff that was, I guess, super accurate, and it did in an efficient way that really described what exactly we were looking for, but just like the natural language of it made it seem like, you know, it was written by a person just like any other person would write. And not only that, but it was we were able to tailor it for our specific company and like the kind of company that we are. So it's not like, you know, if you just go and you look up, I need a sales manager job description is super general. We could literally have it write a sales manager description for a real estate company, and it was able to differentiate that and do so in a really, really valid way. So, you know, we've played around with that a bunch of different ways, and ultimately use that to create the core for the vast majority of our job listing copy that we've been posting. Second is marketing copy.
Mike DeHaan: [2:45] And we have been using this for marketing copy both for like online marketing, just for some different online ads that we run, as well as for our social media posts that we do for this podcast at clickingcheesepodcast. And now we are also using it for direct mail copy that we are putting into our mailers that we use for our direct to seller investing business, our wholesaling and flipping business. And the way that it tailors that content, it like allows you to specifically tailor it to the target audience, and also ties it in with your company and kind of the business that you are in. Right? So like with ours, we were able to say, cool, write a 300 word letter to a motivated home seller. And it was able to spit out various different iterations of that that we're gonna test and we see how they do. And, you know, it's kinda general stuff, but so is all direct mail copy. But this alleviated the need of having to come up with something super specific or original every single time. And the way that the copywriting of it works, it's not perfect, but it gives you the ideas, and it allows you to very easily structure it. And then even with the the online stuff we've also found, you know, it's it's SEO optimized with like our WordPress plugins that we have.
Mike DeHaan: [4:05] It's all checked being strong for SEO. It's formatted correctly. You can literally just copy and paste it. You're not having to dink around with it, even down to the point of, you know, making like the headers and all that sort of stuff formatted correctly. So it's like, it's next level. Basically, all of the things that a copywriter or a marketing specialist have to spend a huge amount of time doing, it does all of those things automatically when you're looking at marketing copy. So the third thing we've been using for has been for our standard operating procedures. So that's been one of our big goals this year, has been to get all of our internal processes for our business documented and to have some sort of level of cohesiveness across our business. One of the challenges that we have had, and since me and Dan, we have built out this business and we bootstrapped it over the last few years, so much of it is still in our head. We've had so many different iterations and changes to the business as we have grown and adapted, and we've tried to, you know, adapt with the market, that ultimately, what's happened is we don't have good documentation for anything. So, you know, one of the big reasons that we have fallen behind that is because it takes so much time. And lo and behold, here comes AI to be able to generate the most basic process, like the most basic outline of what an SOP can look like. Now, these are not perfect because, you know, obviously, we have a lot of internal parts to our business that AI could not know, because it's not out in the public sphere. But it does give a very general outline that eliminates, I would say probably 85% of the work. And now you just have to go through and, you know, piece together the parts that are that are unique to your business, unique to our business, and you know, modify things just like where it didn't quite get stuff right, because it didn't quite understand how the business works.
Mike DeHaan: [5:50] But for the most part, it really is a huge step up. And again, similar though to, like with the marketing, by giving it a load of prompting, we are able to have it write specific tasks and give and ask for like specific details, dependent on you know, the type of business that we are and the general branding that it was able to pick up about our business that was out in the sphere. Right? So like it's, you know, not 100% standard, not 100%, you know, tighter business, but it can get a good mix and it's pretty dang close. So anyways, guys, if you haven't played around with AI yet for your business, there are so many ways. These are just the copy, the different forms of copy that we've been using it to create. I've heard about people using these for different kinds of images, different kinds of YouTube covers, different kinds of Instagram posts, you know, everything you can think about there seems to be leaning that way. And, you know, it makes me wonder what exactly does the future look like. And a lot of people say it's like going to eliminate jobs. I think it is going to just sort of like modify jobs a little bit, especially because you still have to think about how to put things together.
Mike DeHaan: [6:55] So even this podcast, I actually decided I wanna try an experiment. And I said, well, the AI platform of music, I said, hey, write a podcast script with notes to talk about these three different things and how we can use AI to use them. And, you know, it wasn't perfect. It kinda gave me really long running language with a bunch of words that we didn't use, that I wouldn't use. But it, you know, gave me the foundation for kind of the stuff to talk about in this podcast and the the key components to to bring up with that. So, you know, literally anything that you wanna do that is long written format or visual format that could be digital, AI is something that you can you can use it for. So don't be afraid to go on experiment. And honestly, you might find that a lot of the staff and processes that you currently have might not be necessary for much longer because even the paid AI systems, they're gonna be significantly cheaper than a lot of that and much more efficient. So anyways, guys, hope you enjoyed this show. If you guys have used AI at all and you have anything cool, please shoot me a DM on Instagram at mike underscore invest. I would love to hear how you guys are using AI for different things. It is something that I'm currently kind of obsessed with, and I'm just fascinated with how creative people are getting with it.
